The terms for using HealthcareOS

The rules that apply when your facility and your staff use HealthcareOS — what we provide, what we ask of you, and what each of us is responsible for.

Last updated October 18, 2026

1.These terms

These terms govern your use of the HealthcareOS website and the HealthcareOS app (together, “the service”). By signing in or using the service, you agree to them. If you use HealthcareOS on behalf of a facility, you confirm that you are allowed to accept these terms for it.

If your facility has signed a separate agreement with us, that agreement takes precedence wherever it differs from these terms.

2.The service

HealthcareOS is software for running healthcare facilities: patient registration and records, queues, pharmacy, inventory, wards, laboratory, billing, insurance claims and reports. We host it, maintain it and keep improving it.

Features change over time. If we plan to remove something your facility relies on, we will tell you in advance.

3.Accounts

Facility administrators create accounts for their staff and decide their roles. To keep accounts safe:

  • Use your own account — never share your sign-in details or let someone else work under your name.
  • Keep your password secret, and tell your administrator or us straight away if you think someone else has used your account.
  • Keep your details up to date, so one-time codes and account messages reach you.

You are responsible for what happens under your account. Administrators should remove access as soon as someone leaves the facility.

4.Your facility’s responsibilities

The facility controls the patient records it keeps in HealthcareOS. It is responsible for:

  • Having a lawful basis to record and use each patient’s information, and telling patients how it is used.
  • The accuracy of what its staff enter.
  • Giving each person a role that matches their work.
  • Complying with the health, insurance and data protection laws that apply to it.

5.Clinical decisions

HealthcareOS is a tool for recording and organising care — it does not practise medicine. Calculations such as BMI, body surface area and blood pressure categories, triage levels, stock alerts and other aids support professional judgement; they never replace it.

Qualified staff remain responsible for every diagnosis, prescription and treatment decision, and for checking the information they rely on.

6.Acceptable use

When you use HealthcareOS, you must not:

  • Open records you have no professional reason to see, or try to get around roles, permissions or workspaces.
  • Use the service for anything unlawful, or to store content you have no right to.
  • Upload malicious code, or probe, scan or overload our systems, except in security testing we have agreed to in writing.
  • Copy, resell or reverse-engineer the service, or use it to build a competing product.
  • Scrape the service, or reach it by automated means we haven’t approved.

We may suspend access that breaks these rules or puts patients, facilities or the service at risk.

7.Your data

Your facility owns its data. We claim no ownership of the records you enter, and we use them only to provide and support the service, as our privacy policy describes.

When your facility leaves HealthcareOS, we will help it take a copy of its records before we delete them.

8.Fees

Fees, billing periods and payment terms are set out in your facility’s order or agreement with us.

If fees remain unpaid after we have reminded you, we may suspend the service until they are settled. Your records stay safe in the meantime.

9.Availability

We work to keep HealthcareOS available around the clock, but we can’t promise it will never be interrupted. We schedule maintenance for quiet hours where we can, and tell facilities in advance about planned downtime that may affect them.

Your facility should keep a plan for working without the system — paper forms, for example — in case of an outage or a lost internet connection.

10.Intellectual property

HealthcareOS — the software, its design, the name and logo, and this website — belongs to us and our licensors. Subject to these terms, we give your facility’s users a limited, non-exclusive, non-transferable right to use the service for the facility’s work.

If you send us ideas or feedback, we may use them to improve HealthcareOS without owing you anything.

11.Suspension and termination

Your facility may stop using HealthcareOS as its agreement with us allows. We may suspend or end access if these terms are seriously or repeatedly broken, if fees go unpaid, or if the law requires it — giving notice first unless there is an urgent risk.

When access ends, the parts of these terms that by their nature should continue — such as those on data, intellectual property, disclaimers and liability — continue to apply.

12.Disclaimers

Apart from what we promise in these terms or in your facility’s agreement, the service is provided “as is” and “as available”. To the extent the law allows, we make no other promises — for example, that the service will meet every need or be free of errors.

13.Limitation of liability

To the extent the law allows, we are not liable for indirect or consequential losses, such as lost profits, revenue or goodwill, or for losses that result from clinical decisions.

Our total liability arising from the service in any twelve months is limited to the fees your facility paid us in those twelve months.

Nothing in these terms limits liability that the law does not allow to be limited, such as for fraud, or for death or personal injury caused by negligence.

14.Governing law

These terms are governed by the laws of the Republic of Ghana. Any dispute we can’t settle together will be decided by the courts of Ghana.

15.Changes to these terms

We may update these terms from time to time. We will change the date at the top of this page and, if a change matters, tell facility administrators before it takes effect. Using HealthcareOS after that means you accept the new terms.
